Terms and Conditions

1. Agreement 

1.1 These Terms and Conditions (“Terms”), together with your submitted event registration form (“Delegate Registration Form”), constitute the agreement (“Agreement”) between you (“the Delegate”) and Transformative Media Ltd (“the Event Organiser”) governing your registration for and participation in the relevant Transform Finance event (“the Event”). 

1.2 Transform Finance is a brand of Transformative Media Ltd, registered in England and Wales under Company No. 12960333. 

 

2. Eligibility and Attendance 

2.1 Complimentary Delegate Passes are reserved for qualifying practitioners from financial institutions, regulators and other approved organisations and are issued at the discretion of the Event Organiser. 

2.2 Submission of a Delegate Registration Form does not guarantee acceptance. The Event Organiser may review information including your organisation, role, seniority and professional responsibilities when determining eligibility. 

2.3 Delegates must provide accurate and complete information during registration and provide any additional information reasonably requested by the Event Organiser in connection with their participation. 

2.4 Delegates confirm that they are appropriately qualified to attend the Event and must conduct themselves professionally throughout. 

 

3. Meetings and Event Participation 

3.1 As part of a complimentary Delegate Pass, Delegates agree to participate in up to three informal introductory meetings, typically approximately 10 minutes each, with relevant technology partners. 

3.2 The Event Organiser will seek, where possible, to arrange introductions based on information provided during registration, including professional interests, technology priorities, areas of responsibility and other relevant preferences. 

3.3 Meetings are arranged at the Event Organiser's discretion and are subject to availability. The Event Organiser does not guarantee meetings with any particular organisation or individual. 

3.4 Delegates are expected to attend meetings allocated to them and should notify the Event Organiser if they are unable to participate. 

3.5 Delegates may also be invited to participate in roundtables, discussion tables, networking activities or other elements of the Event, where applicable. 

3.6 The Event Organiser is not responsible for changes to the number or identity of attendees, sponsors or participants, or for scheduled meetings that do not take place due to circumstances outside its reasonable control. 

 

4. Sponsor Data Sharing 

4.1 As disclosed in the Delegate Registration Form, professional contact information provided by complimentary Delegates may be shared with selected event sponsors. 

4.2 Information shared may include, but is not limited to, your name, job title, company name, business email address, telephone number and relevant professional interests or areas of responsibility. 

4.3 Selected event sponsors may use this information to contact you about relevant products and services and will process information they receive in accordance with their own privacy policies and applicable data protection requirements.

5. Alterations, Postponement or Cancellation by the Event Organiser 

5.1 The Event Organiser reserves the right to make reasonable changes to the Event, including its programme, speakers, structure, format, location, venue, date or other features. 

5.2 If the Event is postponed or cancelled due to circumstances beyond the Event Organiser's reasonable control, the Event Organiser may reschedule the Event or make other reasonable arrangements. 

5.3 Where appropriate, Delegate registrations may be transferred to a rescheduled Event. 

 

6. Cancellation and Substitution by the Delegate 

6.1 If you are unable to attend, you should notify the Event Organiser in writing as soon as reasonably possible and, where possible, at least three weeks before the Event. 

6.2 Delegate Passes may not be transferred to another individual without the Event Organiser's prior approval. 

6.3 A suitably qualified substitute may be considered at the Event Organiser's discretion and will be required to meet the applicable eligibility requirements. 

6.4 Complimentary Delegate Passes have no cash value and are non-refundable. 

 

7. Event Content 

7.1 Presentations, documentation and other materials made available as part of the Event (“Content”) are owned by the Event Organiser, relevant speakers or other rights holders and are made available for personal professional use unless otherwise stated. 

7.2 Delegates must not record, reproduce, republish, distribute or use Event Content commercially without the appropriate permission. 

7.3 Certain sessions may operate under the Chatham House Rule or other confidentiality arrangements. Delegates participating in those sessions must respect any requirements communicated by the Event Organiser. 

7.4 The Event Organiser does not guarantee the accuracy or completeness of views, information or materials provided by speakers or other third parties. 

 

8. Photography, Filming and Recording 

8.1 Photography, filming and recording may take place at the Event. 

8.2 Images, video or audio captured at the Event may be used by the Event Organiser for editorial, marketing, promotional and other legitimate business purposes relating to Transform Finance and its activities. 

8.3 Delegates with specific concerns regarding photography or filming should contact the Event Organiser before or during the Event so that reasonable requests can be considered. 

 

9. Code of Conduct 

9.1 All Delegates must comply with the Transform Finance Code of Conduct, which applies to participation in the Event and related activities. 

9.2 The Event Organiser reserves the right to refuse admission or remove an individual who breaches the Code of Conduct or whose behaviour may adversely affect the safety, wellbeing or experience of other participants. 

 

10. Accessibility and Special Requirements 

10.1 Delegates requiring reasonable adjustments or other accessibility support are encouraged to notify the Event Organiser sufficiently in advance so that appropriate arrangements can be considered. 

 

11. Health, Safety and Venue Requirements 

11.1 Delegates must comply with applicable health, safety, security and venue requirements while attending the Event. 

11.2 The Event Organiser may introduce reasonable additional measures where required by law, public authorities, the venue or circumstances affecting the safe operation of the Event. 

 

12. Event Sponsors and Third Parties 

12.1 Event sponsors, exhibitors, speakers and other third parties are independent organisations. The Event Organiser is not responsible for products, services, representations or subsequent communications provided by those third parties. 

 

13. Payment 

13.1 Where a fee is payable for a Delegate Pass or other Event participation, payment must be made in accordance with the payment terms provided during registration or invoicing. 

13.2 The Event Organiser may cancel a paid registration where payment has not been received by the applicable deadline. 

 

14. Security and Badges 

14.1 Delegates may be required to wear their Event-issued badge while attending the Event. 

14.2 Badges are personal to the registered Delegate and must not be transferred or provided to another individual without the Event Organiser's permission. 

 

15. Liability 

15.1 Nothing in these Terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation. 

15.2 Subject to applicable law, the Event Organiser will not be responsible for indirect or consequential losses, loss of revenue, profits, business opportunities or anticipated savings arising from participation in the Event. 

15.3 Delegates remain responsible for their own travel, accommodation, personal belongings and arrangements with third-party providers. 

 

16. Data Protection and Privacy 

16.1 Transformative Media Ltd processes personal information in accordance with applicable data protection law and the Transform Finance Privacy and Cookie Policy. 

16.2 The Privacy and Cookie Policy explains how we collect, use, share and retain personal information, the lawful bases on which information may be processed and the rights available to individuals under applicable data protection law. 

16.3 Questions or requests concerning personal information may be sent to dataprivacy@transformative.media. 

 

17. Termination and Refusal of Admission 

17.1 The Event Organiser may reject a registration, withdraw a complimentary Delegate Pass, refuse admission or require a Delegate to leave the Event where the Delegate: 

  • Does not meet the applicable eligibility requirements  

  • Provides materially inaccurate or misleading registration information  

  • Fails to comply with these Terms or the Code of Conduct  

  • Improperly transfers or attempts to transfer their Delegate Pass  

  • Engages in conduct which, in the Event Organiser's reasonable opinion, may adversely affect the Event or other participants  

 

18. Law and Jurisdiction 

18.1 These Terms are governed by the laws of England and Wales and, subject to applicable law, disputes will be subject to the jurisdiction of the courts of England and Wales.
